Schedule: Monday–Friday, 7:00 AM – 4:00 PM Pacific Time (Full-Time)

Compensation: $1,500 USD/month (Contract)

About the Role

We’re a fast-growing structural concrete subcontractor based in Southern California, and we’re looking for a highly organized, bilingual, and tech-savvy Executive Assistant to support our Management Team.

This is a full-time remote role, but you must be available to work 100% on Pacific Time hours (7 AM – 4 PM PT, Monday through Friday).

We welcome applicants from across Latin America, especially those who are fluent in both English and Spanish, detail-oriented, and passionate about bringing structure, accountability, and momentum to a high-growth business.

You’ll play a key role in internal operations, supporting leadership with calendar and email management, team follow-ups, SOP creation, and even light marketing and AI integration.

Key Responsibilities

  • Manage calendars, inboxes, meetings, and priorities for the leadership team
  • Triage and organize 100+ emails daily, flagging critical items and dismissing or responding to low-priority solicitations
  • Attend or review internal meetings, take notes, assign follow-ups, and track accountability
  • Leverage AI tools (like ChatGPT) to draft emails, generate summaries, and assist in streamlining workflows
  • Build and maintain internal SOPs, organize digital files and shared drives (Microsoft 365, SharePoint)
  • Help implement and manage a task-tracking platform (Microsoft Planner, Asana, etc.)
  • Assist with travel coordination, scheduling, birthdays, and light personal support
  • Support basic marketing efforts (LinkedIn posting, WIX website updates)

Ideal Candidate

  • Based in Latin America
  • Fluent in English and Spanish (written and spoken)
  • 3+ years experience as an Executive Assistant or similar support role
  • Excellent communication, organization, and problem-solving skills
  • Comfortable with Microsoft 365, HubSpot, task management tools, and cloud platforms
  • Familiar with AI tools like ChatGPT for productivity
  • Proactive, responsive, and able to work independently
  • Comfortable holding others accountable and helping leadership stay focused

Compensation

  • $1,500 USD/month (contract)
  • Intended to be competitive within the LATAM region — equivalent to middle or upper-class income
